How to reply to Google reviews (the fast, on-brand way)

Replying to reviews is the single highest-leverage habit for local SEO and brand trust. Google surfaces replies directly in the local pack, and 89% of consumers read owner responses before choosing a business (BrightLocal 2024). Here's the exact workflow we use inside HappyReplies.

TL;DR

Open your Google Business Profile, click Reviews, hit Reply, and post a short (<400 char) response that uses the reviewer's name, one specific detail, and an offline next step. Do it within 24 hours — response speed is a local ranking signal.

Step by step

  1. 1

    Open Google Business Profile

Sign in at business.google.com and select the location. If you manage multiple, use the location switcher top-left.

  2. 2

    Click Reviews

The Reviews tab lists every review with a Reply link. Sort by newest so you never miss one.

  3. 3

    Read the review carefully

Note the reviewer's name, the star rating, and the one specific detail they mention. Personalisation lives in that detail.

  4. 4

    Draft a short reply

Aim for under 400 characters. Google truncates longer replies in the local pack. Structure: greeting → specific acknowledgment → offline next step → signature.

  5. 5

    Personalise before you post

Never post a generic template. Swap in the reviewer's first name, quote back one detail they wrote, and sign with a real person's name.

  6. 6

    Post and move on

Hit Post. Google indexes the reply within hours. For 1- and 2-star reviews, follow up privately within 48 hours.

Examples

5-star

Best pizza in Shoreditch. Marco was brilliant.

Cheers Tom — Marco will get a pint for that. Ask for him next time and I'll put a bottle of the house red aside. — Sofia, Owner

1-star

Waited 40 minutes for a table we'd booked.

Hi Sam — 40 minutes past a confirmed booking isn't the reservation you made. We were short-staffed that night, no excuse. Email me at sofia@ and I'll put things right. — Sofia

FAQ

How long should a Google review reply be?
Under 400 characters. Google truncates longer replies in the local pack, so the important part gets cut off.
How fast should I reply?
Within 24 hours if possible. Response time is a documented local ranking signal and reviewers are more likely to update their rating when they see a fast, thoughtful response.
Can I use AI to draft the reply?
Yes. Google's guidelines are about the content, not the tool. Draft with AI, personalise the name and one specific detail, then post.
Should I reply to every review, even 5-stars?
Yes. Consistent replies signal an active, cared-for business to both Google and prospective customers.
