Medical clinic review reply templates (HIPAA-safe)

Medical clinics face the tightest reply constraints of any industry. HIPAA and equivalent international rules bar you from confirming — even indirectly — that the reviewer was seen at your clinic. Every reply must be written so it would also make sense if the reviewer had never been a patient.

What medical clinics get reviewed on

  • Long wait times
  • Front-desk experience
  • Billing surprises
  • Referral delays
  • Bedside manner

Tone notes

Neutral, professional, never confirms a patient relationship. Practice manager or patient-relations lead, not the treating clinician.

FAQ

Can a medical clinic name the treating doctor in a reply?
No. Naming the clinician or the reviewer risks confirming a patient relationship, which is a HIPAA (US) or GDPR/UK-CA (EU/UK) violation. Reply from the practice manager instead.
Can we ask a patient to remove a review?
Only via a neutral, private channel — never in the public reply. Public asks read as coercion and can be reported to Google under their user-generated content policy.
