How to train staff to reply to Google reviews

Owners who batch replies weekly burn out; teams that share the load never do. The training below is what we run for our own customers.

TL;DR

Give them the four-line framework, three worked examples, and a hard rule: any 1-star reply pauses for owner approval. Everything else is delegable.

Step by step

  1. 1

    Share the framework

Acknowledge → take responsibility → offer offline → sign with name. That's the whole shape.

  2. 2

    Walk through three real examples

One 5-star, one 3-star, one 1-star. Discuss what specifically each reply does well.

  3. 3

    Set the escalation rule

'You can post anything 3-star and above. 1- and 2-star pause for owner review.' Keeps trust intact.

  4. 4

Review the first week's replies together

Fast feedback loop. After two weeks, most team members are safe unsupervised.

FAQ

Can a virtual assistant handle reviews?
Yes — with the same framework and escalation rule. Brand voice notes are the guardrail.
