Free negative review response generator

Not every negative review is a 1-star. The 2- and 3-star reviews are usually the most detailed and the most useful — this preset handles all three.

Quick rules

  • Match the tone to the rating — 1-star wants acknowledgement, 3-star wants curiosity.
  • Name the specific thing that fell short. Generic apologies read as generic.
  • Offer one concrete fix, not a discount code.

Example drafts

1-star

Review

"Ordered food, arrived cold."

Reply

"Hi Jamie — cold food is cold food. I've refunded the order and I'd like to send you a fresh one this week if you'll let me. — Marc"

2-star

Review

"Cut was fine, wait was long."

Reply

"Hi Priya — the wait shouldn't have been that long. On me — book direct and I'll comp your wash. — Ellie"

3-star

Review

"Everything ok, nothing memorable."

Reply

"Hi Sam — thanks for the honest three. Menu changes on the 1st with three specials worth remembering. Book direct and I'll set you up. — Marco"

FAQ

What counts as a "negative" review?
Any rating that's under your average, but especially 1- to 3-star. A 4-star for a business averaging 4.9 can behave like a negative review in the local pack.
Should I reply the same way to every negative review?
No. 1-star wants acknowledgement, 2-star wants a specific fix, 3-star wants curiosity and change.
Will replying make the review look bigger?
The opposite. Unreplied negative reviews sit at the top of your profile longer; replied reviews scroll faster in the feed and show future customers you're active.
