How to reply to a 1-star Google review (20 templates)

1-star reviews feel like emergencies and rarely are. The reply is a public letter to future customers who will read it while deciding whether to book. Every template below is one we've sent or reviewed inside HappyReplies for a real local business.

The 3-line framework

  1. Acknowledge the specific detail — not "sorry you had a bad experience", but "sorry the pastry was missing from your bag".
  2. Say what has changed or what you'll do next — a refund, a callback, a staff conversation. One concrete thing.
  3. Sign off with a real name and a direct email. Move the argument off the public thread.

Never do this

  • Never argue the facts in public, even when the reviewer is wrong.
  • Never name a staff member you're defending or blaming.
  • Never copy-paste the same reply across multiple 1-star reviews — Google's own guidelines discourage it and future customers spot it instantly.

FAQ

How quickly should I reply to a 1-star Google review?
Within 24 hours. Google's own local ranking guidance and BrightLocal's 2024 Local Consumer Survey both weight response speed heavily; the reply is also read most by prospects in the first two days.
Should I apologise even if the customer is wrong?
Apologise for the experience, never for a fact you didn't cause. "I'm sorry the evening didn't land" is honest. "I'm sorry we ruined your night" is a confession you may not owe.
Can I ask Google to remove a 1-star review?
Only if it violates Google's review policies — spam, off-topic, conflict of interest, or personal attacks. "Unfair" is not a valid reason. Flag it through your Google Business Profile and reply anyway; the reply outlasts the flag decision.
Should I offer a refund or discount in the reply?
Offer the specific fix, not a discount. A free replacement of the failed item reads as accountability; a blanket 10% discount reads as a bribe to remove the review.
Do 1-star review replies affect local SEO?
